How do I download JSACloud Professions to my mobile device?
Go the App Store or Google Play Store, search JSACloud and download.

How do I set up to use JSACloud?
When you first log in, a login screen should appear. You will need to create an account. This will ensure that all of your data is backed up to the cloud.

Why didn’t my login screen appear?
Go to the top right-hand corner of the app and click on the person icon then select login.

How do I get started using the app?
To start JSAs you will first need to download data for all the forms and for your industry. To do this, click on Construction. Once you have done this, click on your industry. Once you have done this, you can purchase templates by clicking on template data and purchasing the data you require.

What are the costs associated with JSACloud Professional?
One off cost for purchase of all form data $7.99.
One off costs for the purchase of templates $2.99 each.
Monthly subscription $19.99 (Basic) or $29.99 (Premium).

What is the difference between Basic and Premium services?
Basic enables you to save and email your JSAs and forms. Premium enables you to Save and email plus, store forms in the cloud.

Can I use JSACloud Professional on multiple devices?
Yes, download and log in to the device of your choice.

What happens if I lose my device or it malfunctions?
If you have a Premium subscription you can simply download the app to another device and log in. All of your data will be downloaded.  If you have a Basic subscription all of your data will be lost if your phone crashes as your data is only stored in the app and not in the cloud.

What happens if I don’t download either form data or templates?
You can still use the app, but you will need to create a complete database for yourself for all JSA elements and all forms.

What happens if I do not subscribe to the app?
The app will be unusable as you won’t be able to save any forms or JSAs that you have created.

What devices can I use JSACloud Professional on?
You can use the app on iPad and iPhone devices as well as Android phones and tablets.


JOB SAFETY ANALYSIS

What is a Job Safety Analysis? 
A Job Safety Analysis (also called a JSA or JHA) is a way of identifying the hazards associated with a job and put in place controls that help stop those hazards becoming incidents and accidents.

What does select Company, Site and Work Area mean? 
You fill these boxes in to show the company you are working for, the site that you are on and where the work is located.

There is no data in my Company Site and Work Area dropdowns?
That is correct. You will need to add this information yourself. Press the ADD button. The good news is that once you have added any of these elements they will be stored on the app and in the cloud, so you only must put them in once.

Why does the app ask me to confirm my location? 
This will confirm where the JSA was completed.

What if I don’t want to disclose my location? 
Simply select NO and your location will NOT be recorded.

What is the Team Members/Visitors section for?
This section associates your team members with the JSAs that you will undertake. To ADD a team member hit the ADD button. You will be asked to put in their name and their role the good news is that once you have added any of these elements they will be stored on the app and in the cloud, so you only must put them in once.

What if someone arrives at the job after everyone has signed off? 
Retrieve the JSA from saved JSA under the main menu and click edit. You will then be able to add additional team members.

What does Activity mean? 
This is the name of the work that you are undertaking.

What does Dig Safe/Job Number mean? 
This is where you add your company’s job number to the JSA.

How do I select the date? 
Click on the date box and it will auto fill with today’s date.

Why do we have to nominate whom the JSA was written by? 
This will provide your company with evidence as to whom completed the JSA and whom is ultimately responsible for its enactment.

What is a Job Step? 
A Job Step is a large step within a job. For example, Prepare Job, Cut Material and Pack Up are three job steps associated with a cutting process.

Can I add additional Job Steps to a template? 
Yes, you can do this by clicking the ADD button and selecting a job step from the drop-down list or adding one of your own.

My Job Steps are in the wrong order how do I change this? 
Simply go to the Job Step in the app. By swiping on the three horizontal lines to the left of the step you can move it to any sequence you want.

What is a Key Task?
Key Tasks are the detailed tasks that are undertaken during each job step. You can move them to the correct order as you did for job steps.

Can I add edit or add additional Key Tasks? 
Yes, you can do this by clicking the ADD button and selecting a key task from the drop-down list or adding one of your own.

What is a Hazard? 
A Hazard is anything that has the potential to cause harm to people, machinery or the environment.

Can I add additional Hazards to a template? 
Yes, you can do this by clicking the ADD button and selecting a job step from the drop-down list or adding one of your own.

What is a Consequence? 
A Consequence is a logical outcome of a Hazard resulting in an incident or accident.

Can I add additional Consequences to a template?
Yes, you can do this by clicking the ADD button and selecting a Consequence from the drop-down list or adding one of your own.

What is a Control?
Controls are the processes you put in place to eliminate and control the selected Hazards.

Can I remove or add additional Controls?
Yes, you can do this by clicking the ADD button and selecting a Control from the drop-down list or adding one of your own.

What does Calculate Risk mean?
In this case it means what is the risk associated with EACH job step.

How do I calculate risk for each job step?
You click on RISK and you will be taken to a risk assessment screen. Risk is calculated here.

What does Select Responsibility mean? 
For every risk, we want you to choose one team member or ALL team members to be in charge and manage the risk.

When I finished the JSA, it said the JSA was incomplete. What went wrong? 
This means that you have neglected to complete one or more aspects of the JSA. REMEMBER for each job step you must determine the residual activity and allocate responsibility.

Why is there a pop up asking whether my team members were competent and confident?
This gives your company an assurance that the right people are on the job.

How do team members sign off on the app? 
Team members click the pencil and sign using strokes with their finger.

When I went to save the JSA, a message appeared saying I was unbale to save it and that I needed to subscribe. What does this mean?
That’s right. Without a subscription you cannot save work. Go to the opening screen of the app and click on either basic subscription or premium subscription to subscribe.

Where can I find my saved and incomplete JSAs?
You will find them on the home menu. Click JSA and navigate to the saved or incomplete JSAs section.


STOP THE JOB

What is a Stop the Job?
A Stop the Job is when for any reason a worker stops the job. It is important to understand what factors are causing our teams to stop the job.

When should I fill in a form?
Whenever the job was stopped to attend to a hazardous issue.

What is a Member? 
The Member is the person on the team who stopped the job. A drop-down menu will appear here and from this, the member should be selected.

Why are the date and job number auto filled?
Because the STOP the JOB should always be done in association with a JSA

What is the Hazard box used for?
This is reserved for the particular Hazard that stopped the job. Select from the drop-down list or add your own.

What does Controls Implemented mean? 
These are the control measures that you put in place because of the stop the job.

What is the Risk box used for?
In this case it means what is the residual risk after you have returned from the STOP THE JOB?

How do I complete the Risk Assessment? 
You click on RISK and you will be taken to a Risk Assessment screen. Risk is calculated here.

What is the Comments box for? 
This box enables you to make extra comments relative to the stop the job.

What is the Contact Me box for and when should I use it? 
The Contact Me box should be used when you require to speak to the email recipient about the situation.

NEAR MISS

What is a Near Miss? 
A Near Miss is when for any reason a worker stops the job because of an incident where no-one was hurt. It is important to understand all factors that are causing our teams to stop the job.

When should I fill in a form? 
Whenever the job was stopped to attend to a hazardous issue.

The Member is the person on the team who completes the Near Miss Form. A drop-down menu will appear here and from this the member should be selected.

INCIDENT REPORT

What is an Incident? 
An Incident is when a hazard in the work area leads to an injury, damage to the equipment or environment.

When should I fill in a form? 
As close as possible after the incident occurred.

What is a Member?
The Member is the person on the team who completes the near Miss Form. A drop-down menu will appear here and from this the member should be selected.

Why are the date and job number auto filled?
Because the Incident Report should always be done in association with a JSA

What is the Injured Person box for? 
This is reserved for the name of the person who was injured. You will be able to find the name in the drop-down menu.

What does Severity mean?
This relates to the severity of the injury. Pick from the drop-down menu or add one of your own. If this cannot be adequately explained, then add to the comments box.

What is the Injury type box for?
This relates to the type of injury incurred by the team member. Choose from the list or add your own by using the ADD button. If this cannot be adequately explained, then add additional information in the comments box.

What is the Comments box for? 
This box enables you to make extra comments relative to the Incident.

What is the Contact Me box for and when should I use it? 
The Contact Me box should be used when you require to speak to the email recipient about the situation.

SAFETY OBSERVATION

What is a Safety Observation? 
A Safety Observation can be planned or unplanned and it occurs when you observe others and have a discussion with a work team about how safely they are undertaking the job.

When should I fill in a form? 
Immediately after you undertake a safety observation planned or unplanned.

What is an Observer? 
The Observer is the person on the team who completes the Safety observation. A drop-down menu will appear here and from this, the member should be selected.

Why are the date and job number auto filled? 
Because the Safety Observation should always be done in association with a JSA.

What is the Permission to Observe box for? 
This indicates to the company whether the workers knew they were being observed.

Why do we want to know whether you have reviewed the JSA/SOP? 
This will indicate whether your observation is against the criteria that the workers are using in undertaking the job.

What is the JSA/SOP Compliance Box for? 
This drop-down menu enables you to determine how well the team is undertaking the task in line with the requirements of the JSA/SOP.

What are the Risk Behaviors Observed box for? 
This relates to any Risk Behaviors you observed. Choose from the list or add your own by using the ADD button. If this cannot be adequately explained, then add additional information in the comments box.

What is the Comments box for? 
This box enables you to make extra comments relative to the observation.

What is the Contact Me box for and when should I use it? 
The Contact Me box should be used when you require to speak to the email recipient about the situation.

AFTER ACTION REVIEW

What is an After-Action Review? 
An After-Action Review is when the work team sits down at the end of the job and provides feedback to Management on what went well and what could be improved.

When should I fill in a form?
At the conclusion of the job with the team.

What is a Member?
A Member is the person on the team who completes the After-Action Review. A drop-down menu will appear here and from this, the member should be selected.

Why are the date and job number auto filled
Because the After Action Review should always be done in association with a JSA.

What is the Job Objective box for? 
This box allows the writer to comment on how well the job objective was achieved relative to budget, outcome and safety. Choose from the drop-down list or add commentary of your own by using the ADD button.

What is the Comments box for? 
This box enables you to make extra comments relative to the review.

What is the Contact Me box for and when should I use it? 
The Contact Me box should be used when you require to speak to the email recipient about the situation.
